Role Overview
We are hiring an Executive Assistant to provide high-level support to The Meridiem's C-suite leadership. You will manage complex calendars, coordinate board and investor communications, handle travel logistics, and serve as a trusted gatekeeper and organizer for the executive team. This is a high-trust, high-impact role where your ability to anticipate needs, manage details, and operate with discretion directly enables leadership to focus on growing the company.
Key Responsibilities
- Manage complex calendars for the CEO and other C-suite executives, coordinating across time zones and prioritizing competing demands.
- Coordinate board meetings including scheduling, agenda preparation, materials distribution, minute-taking, and follow-up tracking.
- Serve as the primary liaison between the executive team and internal departments, ensuring clear communication and timely follow-through.
- Plan and coordinate executive travel including flights, accommodations, ground transportation, and detailed itineraries for conferences and investor meetings.
- Draft, edit, and proofread executive communications including emails, memos, presentations, and investor updates.
- Manage confidential information with absolute discretion, including financial data, personnel matters, and strategic plans.
- Coordinate investor relations logistics including scheduling meetings, preparing data requests, and maintaining the investor CRM.
- Organize company-wide events such as all-hands meetings, offsites, and team celebrations for a distributed workforce.
- Track and manage executive action items, ensuring deadlines are met and commitments are followed through.
- Handle expense reporting and budget tracking for the executive office.
- Support special projects assigned by the executive team, from research tasks to operational initiatives.
- Anticipate the needs of the executive team and proactively solve problems before they arise.
Requirements
- 3+ years of experience as an executive assistant, chief of staff, or in a similar high-level administrative role.
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously without dropping details.
- Outstanding written and verbal communication skills — you represent the executive office in every interaction.
- Proven ability to handle confidential and sensitive information with discretion.
- Strong calendar and time management skills, with experience coordinating across multiple time zones.
- Proficiency with productivity tools (Google Workspace, Notion, Slack, Zoom, or similar).
- Self-starter mentality with the ability to work independently and anticipate needs.
- Grace under pressure — ability to remain calm and effective in fast-moving, ambiguous situations.

- Background in media, technology, or venture capital industries.
- Experience coordinating board meetings and investor communications.
- Familiarity with event planning for remote and hybrid teams.
- Project management skills or experience with project management tools.
