Role Overview
We are looking for an Editorial Operations Coordinator to keep our publishing engine running smoothly. You will manage the operational side of content production — from editorial calendars and CMS workflows to publishing schedules and cross-team coordination. This role is essential to ensuring that every article, briefing, and newsletter goes out on time, in the right format, and to the right audience. If you love systems, schedules, and making sure nothing falls through the cracks, this role is for you.
Key Responsibilities
- Own and maintain the editorial calendar, coordinating content schedules across morning briefings, evening analysis, breaking news, and special features.
- Manage daily publishing workflows in our CMS (Strapi), ensuring articles are properly formatted, tagged, categorized, and scheduled for publication.
- Coordinate with editors, reporters, and freelance contributors on deadlines, content handoffs, and revision cycles.
- Ensure content is properly distributed across all channels including the website, newsletters, RSS feeds, and social media.
- Monitor and troubleshoot publishing issues, including CMS errors, scheduling failures, and formatting problems.
- Maintain and improve content templates, style guides, and publishing checklists to ensure consistency.
- Track editorial production metrics including publish rates, deadline adherence, content volume by vertical, and turnaround times.
- Coordinate with the design team on visual assets, featured images, and multimedia content for articles.
- Manage the freelance contributor pipeline, including assignment tracking, invoice coordination, and onboarding documentation.
- Support special editorial projects such as series launches, sponsored content, and event-related coverage.
- Assist with CMS configuration, taxonomy management, and workflow automation improvements.
Requirements
- 2+ years of experience in editorial operations, content coordination, or production management in a media or publishing environment.
- Hands-on experience with content management systems (WordPress, Strapi, Ghost, or similar).
- Exceptional organizational skills and attention to detail — you catch the typo in the headline and the wrong publish date.
- Strong understanding of editorial workflows from pitch through publication.
- Excellent communication skills for coordinating across editorial, design, and product teams.
- Ability to manage competing priorities and tight deadlines in a daily publishing rhythm.
- Comfort with spreadsheets, project management tools, and editorial calendars.
- Proactive problem-solver who anticipates issues before they become blockers.
Nice-to-Have
- Experience with headless CMS platforms, particularly Strapi.
- Familiarity with newsletter platforms (Beehiiv, Substack, Mailchimp).
- Background in tech journalism or technology media.
- Basic understanding of SEO, metadata, and content optimization.
- Experience with content scheduling and automation tools.
